Privacy Statement
This statement explains how the Journal of Advanced Intelligent Computing and Informatics (JAICI) collects, uses, keeps and shares the personal data of authors, reviewers, editors and registered readers.
1. Who is responsible
The data controller is WRU London Ltd (company no. 17313326), which publishes the journal for World Research Union. Its registered office is at Dept 6696, 196 High Road, Wood Green, London N22 8HH, United Kingdom, and its business address is C17 Kestrel Business Centre, Private Road 2, Colwick Industrial Estate, Nottingham NG4 2JR, United Kingdom. Personal data is handled in line with the UK General Data Protection Regulation and the Data Protection Act 2018. Questions about your data can be sent to info@wrunion.org.
2. What we collect
- Account data: name, email address, affiliation, country, ORCID iD if supplied, and a password stored as a one-way hash.
- Profile data: reviewing interests, biography and any other fields you choose to fill in.
- Submission data: manuscripts, cover letters, declarations and related correspondence.
- Review data: review reports and review history.
- Editorial data: decision letters, correspondence and workflow records.
- Technical data: IP addresses, browser details and access times recorded by the web server.
We do not ask for special-category data such as health, ethnicity, political opinions or religion. If such data appears in a manuscript, it is treated as confidential research material.
3. Why we use it, and on what basis
- Running peer review and publishing articles (performance of the service you asked for).
- Writing to you about your submissions, reviews and account (performance of the service).
- Sending notices of new issues and announcements, if you opt in (consent).
- Keeping an accurate scholarly record, including corrections and retractions (legitimate interests).
- Meeting legal obligations.
We do not use personal data for marketing or profiling, and we never sell it.
4. Who we share it with
- Editors handling a manuscript see the data they need for it. Under double-blind review, authors and reviewers do not see each other's identity.
- Reviewers receive anonymised manuscripts and must keep them confidential.
- ORCID, if you connect your ORCID iD.
- Preservation and indexing services receive published article metadata (author names and affiliations) through the journal's OAI-PMH endpoint.
No other party receives personal data unless the law requires it.
5. Cookies
The site uses session cookies to keep you logged in. It does not use advertising or tracking cookies.
6. How long we keep it
- Account data: while the account exists, plus a reasonable period after closure for audit.
- Submission and review records: for the life of the journal, as part of the editorial record.
- Published author names and affiliations: permanently, as part of the scholarly record.
- Server logs: up to 12 months.
7. Your rights
You may ask to see, correct, export or delete your data, object to its use, or withdraw consent to notifications at any time in your profile. Deleting an account does not remove published articles or the record of past submissions. Write to info@wrunion.org; we aim to reply within 30 days. You may also complain to the UK Information Commissioner's Office at ico.org.uk.
8. Security
The site runs over HTTPS, passwords are hashed, and editorial access is limited to people handling a given manuscript. No online service can be completely secure, but we take reasonable steps to protect data in transit and at rest.
9. International transfers
Editors and reviewers work in many countries, so data needed for review may be seen outside the United Kingdom. It is shared only for the purposes above and under the journal's confidentiality rules.
10. Children
The service is for researchers and students. We do not knowingly collect data from children and will delete any we find.
11. Changes
Effective from 27 June 2026. Last revised 26 September 2026. Registered users are told of any change that affects their rights.
